Must-Have School ERP Features: A Module-by-Module Checklist
Sit through three school ERP demos in one week and something odd happens. By the third, they all sound the same. Everyone has "40+ modules." Everyone has an app. Everyone has AI now, apparently.
The feature list stops being useful as a comparison tool because everybody's list is long.
What actually separates a system that gets used from one that gathers dust is whether the features fit the way your school works. A fee module that can't handle your sibling discount is worse than no fee module, because now you're maintaining the ERP and the old Excel sheet.
This checklist is built for the evaluation stage. For each area of school ERP software, it tells you what to look for and, more importantly, what to ask the vendor to show you live.
First, what counts as a "module"?
A module is one functional area of the system: admissions, attendance, fees, and so on. In a well-built ERP they aren't separate apps bolted together; they share one student database, so a record created in admissions is the same record teachers mark attendance against and accounts bills fees to.
That sharing is the thing to verify. Ask the vendor to admit a test student and then show that student appearing, unprompted, in the attendance register, the fee ledger and the parent app. If any of those need a manual step, the "integration" is a label, not a fact.
1. Student management
The spine of the system. Everything else attaches to it.
Look for: one complete profile per student (personal details, parent and guardian contacts, class and section, documents, academic history, transfer records), quick search, controlled editing and a clean audit of who changed what.
Ask in the demo: "Change this student's section and phone number. Now show me where else that change appears." It should be everywhere, instantly.
2. Admission management
Admissions are seasonal and chaotic. A good module turns the pile of forms into a pipeline you can see.
Look for: online enquiry and registration forms, document upload, application status tracking (enquiry → applied → verified → admitted), registration fee collection, automated acknowledgements and a report showing conversion at each stage.
Ask: "Show me an application from the parent's side, then from the office side." Customisable form fields matter too; every school asks slightly different questions.
3. Attendance management
This is used every single day by every teacher, so speed is everything.
Look for: student and staff attendance, leave management, daily and monthly reports, absence tracking, automatic parent notifications and the ability to correct entries with proper authorisation. If you want to remove manual marking, check for biometric and RFID integration; One Flawless supports both.
Ask: "How many taps does it take to mark a class of 40?" Then: "A parent gets an absent alert; show me exactly what they see and how fast."
4. Academic management
The module teachers live in. If it's clumsy, adoption dies here.
Look for: lesson planning against the curriculum, timetable creation and substitution handling, homework and assignment distribution with file uploads, academic calendar, progress tracking and assessments. One Flawless bundles lesson planning, timetables, live class management and inspections into one academic area.
Ask: "A teacher is absent tomorrow. Show me how the timetable is adjusted and who gets notified."
5. Examination management
Result season is where manual systems break. This module should carry the load.
Look for: exam scheduling, subject and grading configuration (CBSE, ICSE, state board or your own scheme), marks entry with validation, automatic grade calculation, teacher remarks, report card templates, result publishing and performance analytics across terms.
Ask: "Here is our actual report card. Can you reproduce it?" Bring the real thing. Vendors who say "yes, customisable" without looking at it are guessing.
6. Fee management
Fees are where accuracy and parent trust meet.
Look for: multiple fee heads and structures, instalments, concessions and sibling discounts, late fee rules, receipts, outstanding reports by class or student, automated reminders and online fee payment through the parent app with automatic reconciliation.
Ask: "Set up our fee structure for Class 9 with a 10% sibling concession and a late fee after the 10th. Now record a partial payment." Watch closely. Fee logic is where vendors most often over-promise.
7. Communication
Storing information is only half the job. Getting it to parents is the other half.
Look for: notices and circulars, SMS, email, push notifications, WhatsApp integration, event and homework updates, and triggered messages (an absence, a fee due date, a result release) that go out without anyone pressing send. One Flawless routes all of this through a dedicated communication portal that connects admin, teachers, students and parents.
Ask: "Which messages go out automatically, and which need a person?" The gap between the two tells you how much work the system actually removes.
8. Parent and student mobile app
For most families, the school mobile app is the ERP. They'll never see the admin screens.
Look for: attendance, fees and online payment, homework and assignments, results, timetable, notices, bus tracking, e-diary, appointment requests and notifications, on both Android and iOS. The One Flawless app gives separate role-based access to admin, students, parents and transport in-charges.
Ask: don't watch a screen recording. Install the app on your own phone during the demo, log in as a parent, and try to pay a fee. Check speed, navigation and whether notifications actually arrive.
9. Staff management
Schools are employers too, and HR admin grows with headcount.
Look for: staff profiles, attendance and leave, recruitment tracking, appraisals, staff services (gate passes, requests) and links to payroll.
Ask: "Show me a leave request from application to approval, and how it affects payroll."
10. Finance and accounting
Fee collection is one input into a bigger financial picture.
Look for: fee accounting, expense tracking, payroll, receipts and vouchers, bank reconciliation and financial reports. If you already use Tally or similar, ask whether the ERP integrates or duplicates.
Ask: "How does a fee received in the app land in our books?"
11. Transport management
A safety feature as much as an admin one.
Look for: route and stop planning, student-to-route allocation, vehicle and driver records, transport fee linkage, and GPS bus tracking that parents can see in the app.
Ask: "Show me what a parent sees when the bus is running late."
12. Library management
Look for: catalogue, issue and return, due dates, fines, member records, barcode or POS support and circulation reports. One Flawless offers POS and barcode integration for exactly this kind of workflow.
13. Inventory management
Uniforms, stationery, lab equipment, furniture, sports kit. Someone is tracking it in a notebook right now.
Look for: stock levels, issue and receipt records, low-stock alerts and asset registers.
14. Hostel and canteen
Only relevant for residential or large day schools, but if it's relevant it matters a lot.
Look for: room allocation, hostel attendance, visitor logs, mess and canteen management with cashless payments.
15. Dashboards and MIS reports
This is the module the principal and management actually use.
Look for: live dashboards for admissions, attendance, fee collection, outstanding dues, exam performance and staffing; role-specific views (management, staff, students, alumni); exportable reports; trends over time. One Flawless describes its analytics as real-time across attendance, performance, fees and staff.
Ask: "Without preparing anything, show me today's fee collection and this month's attendance trend." If the answer is "we'll generate that report for you," that's a manual step in disguise.
16. Integrations
Your school already has hardware and services. The ERP has to work with them.
Look for: payment gateways, biometric and RFID devices, GPS units, WhatsApp, school website integration (so announcements and galleries update from the ERP), and POS/barcode. One Flawless lists all of these on its site.
Ask: "Which of these are living in other schools today, and which are on the roadmap?" Roadmap items are not featured.
17. Security and user permissions
You're holding data on minors. Treat this as a first-tier feature, not a footnote.
Look for: role-based access (a teacher shouldn't see fee ledgers; accounts shouldn't edit marks), strong authentication, access logs, regular backups, clear data ownership and export rights, and what happens to your data if you leave.
Ask: "Where is our data hosted, how often is it backed up, and can we export everything in a standard format?"
18. Customisation
No two schools run the same fee structure, exam pattern or admission process.
Look for: configurable fee heads, grading schemes, report card layouts, form fields, notification templates and workflows, without paying for custom development every time. One Flawless positions its ERP as tailored to each school's requirements; ask what "tailored" includes in your quote.
19. Implementation and support
The feature that determines whether all the other features get used.
Look for: a named implementation manager, data migration help, role-based training, documentation, a support desk with response times and a post-launch check-in schedule. Our guide to switching your school ERP without losing data covers migration in detail.
Ask: "Who is our point of contact in week two when something breaks?"
Sorting features into three buckets
Buying every module on day one is how schools end up with expensive, half-used systems. Sort instead.
Must have it now. Student management, admissions, attendance, fees, examinations, communication, mobile app. These run the school daily.
Should have soon. Academic planning, staff management, transport with GPS, dashboards, library. Add in the second phase once staff are comfortable.
Later, if needed. Inventory, hostel, canteen, advanced analytics, multi-branch management. Switch on when the need arrives, not before.
The budget conversation gets much easier once you've done this. If you want a sense of numbers, our post on school ERP price in India breaks down what drives cost.
Ten demo questions that expose weak products
Generic presentations hide problems. Workflows reveal them. Ask the vendor to:
-
Admit a new student from enquiry to enrolment.
-
Mark attendance for one class and show the parent's notification.
-
Set up our real fee structure and record a partial payment.
-
Generate our actual report card format.
-
Send a circular to one class only.
-
Move a student between sections mid-year.
-
Handle a teacher's absence in the timetable.
-
Show the principal's dashboard with today's live numbers.
-
Walk through user permissions for a teacher vs an accountant.
-
Explain what happens, and who we call, when something goes wrong.
A vendor who handles all ten comfortably has a product that works. One who keeps saying "we can configure that later" has a product that might.
The final checklist
Before you sign, confirm you've evaluated: student records, admissions, attendance and its integrations, academics, exams and report cards, fees and online payment, communication channels and automation, the mobile app on a real phone, staff and payroll if needed, transport and GPS if needed, library and inventory, dashboards, security and permissions, integrations with what you already own, customisation scope, and implementation support.
That's a long list, and it should be. This is a decision your school lives with for years.
What to do next
The best school ERP features aren't the most impressive ones. They're the ones that quietly remove work from your office, your teachers and your accounts team, every day, without anyone thinking about the software at all.
Write down your must-haves first. Then bring the list, your real fee structure and your real report card to a demo. If you'd like to run that exercise with One Flawless, book a free demo and we'll build the walkthrough around your school, not ours.
